Some times you will have to add a lot of diagrams and graphics to word documents for better understanding. There is a saying a picture worth thousand words. For these pictures you would add captions or figure tags with a reference number.
When you add new pictures or remove the existing one , you will end up the figure numbers been out of order.
Normally if you highlight the figure number and right click and select update field will update the figure to the correct sequence.
But if you have several hundreds of pages this is a tedious .
Following is a short cut.
1. Select the whole document (Press CTRL+A)
2. Press F9
3. Save
This will update all fields automatically.
Note: this should work on the older versions of MS Word as well

Id there a way to do it from the menues with out pressing F9?
I believe this is equal to update table option under Reference Menu. But update table options are seperately avialabel for Table of Contents , table of figures etc.

Not really, except that on Mac the F9 button is used for other stuff that capture the keypressed before it is sent to MS Office. So basically F9 short key does not work... therefore I was looking for a way to do it without relying on the short cut key.

This is not automatic update, you still have to take an action. Automatically updating is when you move a figure, and it automatically updates that cation number, as well as the others in the document. This is how EndNote automatically updates things.
This only works if you don't use a frame and attach the figure number to the frame. I work with large documents where there is over 100 figures in section 2 of said document. I've tried this method . . . repeatedly. Cntrl a does not select the captions on my figures! It'll update the references though which saves me time but my captions are still misnumbered.
